BILLING:


Cancellation Policy


You may cancel any of your subscriptions at any time by logging into your dashboard and following the cancellation process, or by emailing us at marketing@thecoolpanda. All cancellation requests must come from the account holder or an authorized contact.

Please note: not using the service does not qualify as a cancellation. Unless a proper cancellation request is submitted, billing will continue. Your cancellation will take effect at the end of the current billing period. You will be responsible for all charges up until the cancellation takes effect.

Cancellations received after the initial charge or a renewal will stop future billing but do not entitle you to a refund or prorated credit for the current period.

Once cancellation is finalized:

  • Future payments will cease
  • All work will stop
  • All related data will be deleted
  • Access to the canceled service will be removed


Auto-Approval Policy (SEO, Content & Social Media Posts)


To keep things moving smoothly, we have a 7-day auto-approval policy in place. Once we send you SEO strategies, content drafts, or social media post samples, you’ll have 7 days to review and provide feedback.

If we don’t hear from you within that time, we’ll auto-approve the work and move forward to avoid delays. This keeps our team on schedule and ensures consistent delivery for your business.

We encourage clients to review and respond during this period, but we understand things get busy—that's why we have this system in place.


Media Buying Services (Facebook & Google Ads)


Pausing or temporarily stopping ad campaigns (including Facebook or Google Ads) has no effect on your subscription fees. Subscription fees cover labor and software access, which continue even if your ads are not actively running.

If your credit card on your ad platform (e.g., Facebook/Instagram) fails and causes the ads to stop running, that does not impact your subscription fee with us.

To avoid additional charges, cancellations must be requested at least 7 days before your next billing cycle by contacting marketing@thecoolpanda or via your dashboard.

Note: Our ad creation and management services are available in English only.


SEO Services


To perform SEO work, your website must be managed through a supported content management system (CMS), such as:

  • WordPress
  • Wix
  • Drupal
  • GoDaddy Builder
  • The Cool Panda Business Solutions website builder

We do not work on custom-coded sites (e.g., HTML or PHP) that require manual file access or FTP/cPanel changes. Our services and optimizations are only offered in English.

Admin access to your CMS backend is required. Our team must be allowed to make changes without prior approval. All work will be summarized and reported monthly, and you can request changes at that time.

SEO services must be completed in-house. We do not provide SEO plans or task lists for external implementation.


OneBalance Transactions


All credit purchases made to fund your OneBalance account are final and non-refundable. These credits cannot be exchanged for cash or used in other forms. Please ensure you are committed before purchasing.


Results Disclaimer


There are no guaranteed results in marketing. While we consistently produce positive outcomes, marketing inherently carries risk and unpredictability.

By purchasing services from The Cool Panda Business Solutions, you acknowledge:

  • There are no guaranteed outcomes
  • Some campaigns may underperform
  • Results depend on various factors (industry, market, budget, etc.)

If performance does not meet expectations, that does not qualify for a refund or credit.


Billing Dates


Your monthly billing date is locked in based on the date of your first payment and cannot be changed. This schedule keeps our global operations running efficiently

Declined Payments


If a payment fails for an active subscription, services may be paused. You’ll need to contact us to resolve the balance. We may attempt to process payment again using your existing payment method.

If we don’t hear from you within 5 business days, and payment is still unresolved, your account may be treated as canceled.

To prevent service disruption, please update your payment details or reach out to us at marketing@thecoolpanda as soon as possible after a failed payment.
